Doing the First Things First
When you’re trying to develop yourself, you may get caught up in the busy game. You feel that the busier you are, the more you’re getting done. Unfortunately, what generally happens is that the busier we get, the less productive we become. In the end, you did a lot, but didn’t accomplish a lot.
This is a good time to take a step back and map out your day and week. Determine how much of your time is spent on doing things that are productive, and how much is spent on doing things that just make you busy. Chances are you will realize that a good portion of your time isn’t productive.

Determining Tasks by Priority
There are four different quadrants into which every task will fall. Where it ends up determines how soon it needs to be done, how important it is, and frankly whether it needs to be done at all.
High Importance – High Urgency
High Importance – Low Urgency
Low Importance – High Urgency
Low Importance – Low Urgency

Now that you have your priorities in order, it’s time to tackle each one as urgency and importance dictates.
High Importance – High Urgency: These are the first to get done. They are the most beneficial, provide the most impact, and have to be done now.
High Importance – Low Urgency: These are the deadlines that are further out. Make a plan to take on these tasks in the future, and make sure they get done before the deadline.
Low Importance – High Urgency: Most of the time these aren’t worth your time. They have to be done, things like filing, mailing letters, organizing the office, or life will be hectic. But they aren’t the “glamorous” jobs. Delegate them as much as possible, or pound them out at the end of the day.
Low Importance – Low Urgency: Bottom of the list, postpone until tomorrow. Tomorrow, postpone it until the next day. These may never actually need to be done. Eliminate anything that is low importance and low urgency that you possibly can because they are generally nothing more than time suckers.
Grow Your Productivity; Feel Better
When you are busy, you feel sapped at the end of the day. You go home in a daze, you want to do nothing but have dinner, sit in front of the TV, then sleep. The next day you just have a bunch of “stuff” to get to.
When you have a productive day you feel energized. You feel like you’ve accomplished a lot, and that you’re gaining ground. Productive days are what we all want because they build momentum. At the end of the day you don’t feel defeated, and you look forward to getting up the next day to be even more productive.
